How DrainDesk handles account, call, job, website, and support information.

This notice is written for transparency, not as a substitute for legal advice. If you use DrainDesk with your own customers, you should make sure your own privacy notice covers your use of AI call handling, transcripts, job scheduling, and notifications.

Who this notice is for

DrainDesk provides an AI phone answering and scheduling service for plumbers. This UK notice applies to plumbers using the service, people who contact those plumbers by phone or message, and visitors to this website.

For UK data protection purposes, the plumber you contacted is usually the controller for customer and job information. DrainDesk acts as a processor when we handle calls, messages, transcripts, job details, notifications, and scheduling on that plumber's behalf. We are the controller for our own website, account, billing, support, and product improvement data.

Information we collect

We may collect plumber account details, business name, phone number, email address, service area, working hours, booking rules, job types, notification settings, and support messages.

When a customer contacts a plumber through the service, we may process caller ID, name, contact details, address or postcode, job description, urgency, preferred appointment times, call recordings where enabled, transcripts, AI-generated summaries, scheduling decisions, and notification delivery records.

On this marketing site we collect only limited technical information needed to deliver the site and remember preferences such as market and theme. We do not currently use Google Analytics, advertising pixels, or behavioural analytics cookies on this marketing site.

How we use information

We use information to answer calls, understand the job request, flag urgent issues, check availability, create or update jobs, send summaries and alerts, support the plumber's account, secure the service, troubleshoot issues, and improve reliability.

Our lawful bases may include contract, legitimate interests, legal obligations, consent where required, and processing instructions from the plumber where we act as processor.

Who we share information with

We use trusted service providers for hosting, database storage, voice and messaging infrastructure, AI processing, push notifications, error monitoring, payments, and support tooling. They may only process information for the service purposes we instruct or configure.

We may also share information if required by law, to protect the service, or as part of a business transfer. We do not sell customer call or job data.

Storage, retention, and international transfers

We keep personal data only for as long as needed to provide the service, meet legal obligations, resolve disputes, maintain security, and support plumber account history. Account owners can request deletion of account and customer data, subject to legal or operational retention needs.

Where providers process data outside the UK, we rely on appropriate safeguards such as contractual protections and transfer mechanisms required by UK data protection law.

Your rights

Depending on the situation, UK individuals may have rights to access, correct, erase, restrict, object to processing, request portability, and withdraw consent where consent is used.
